Case study: Vitality Gym, Plovdiv, on the GymLiquid platform

Vitality Gym is a modern gym in Plovdiv, Bulgaria, with high-end Hammer Strength and Life Fitness equipment, a functional training area, group classes, personal training and a Therabody recovery area. Its reception, memberships, bookings and entry run on GymLiquid.

This case study is for owners and managers of gyms with a similar profile. It describes what is deployed, which lessons apply elsewhere and what to prepare for your own gym.

Gym profile

  • The gym: opened in 2025 in the Trakia district of Plovdiv.
  • Training equipment: Hammer Strength and Life Fitness across the strength and cardio areas, plus a functional training area.
  • Services: daily group classes, including yoga, Pilates, Zumba and folk dance, and personal training.
  • Recovery: an area with Therabody devices.
  • Member products: memberships, visit packs, personal training packages and partner cards.
  • Partner cards: MultiSport for the gym floor and group classes, CoolFit for group classes.

The task

When a gym invests in high-end equipment, members expect the same standard at reception. The work there is complex because of the mix of services. One member buys a membership at reception, another enters on a visit pack, a third comes to a class on a partner card and a fourth has a personal training session. Each case has different rules, and reception has to apply them quickly and consistently.

The aim is for all of them to run through one system, so staff can see the member and what they currently hold.

What is deployed

  • Reception: sales, memberships, visit packs and freezes from one workstation.
  • Group classes: the schedule, booking and cancelling in the browser-based member portal, and a waitlist.
  • Personal training: a completed session updates the member's remaining balance and the instructor's pay.
  • Access: turnstile entry based on what the member has bought.
  • Partner cards: separate rules for each operator.
  • Website: personal training prices on the gym's website come from the same system.

Reception and entry devices

  • Fiscal printer: Datecs DP-25MX, connected to the reception computer.
  • Card terminal: myPOS Go 2.
  • Access: a two-way turnstile with QR and card readers.

This describes one working setup and is not a list of certified compatibility. These are the devices the software works with, not the training machines. For your own devices, see the equipment guide.

Four practical lessons

1. Check devices on site. At this gym, the direction label in the turnstile controller's settings did not match how the readers were actually wired. You only find that out by testing on site.

2. Plan who controls devices during the transition. The card terminal can only be driven by one program at a time. If the old and new systems run side by side, decide in advance which one uses it and when.

3. Write down partner card rules. When coverage differs by operator and service, it should not depend on a staff member's memory. There is more in the MultiSport and CoolFit guide.

4. Keep a person responsible for the till. The day is closed by hand: someone on the team checks the till and answers for it.

What to prepare for a similar gym

  • A list of services and what each membership, card and package covers.
  • The rules in your agreement with each partner card operator.
  • Exact models of the printer, terminal, turnstile and readers, with photos of the labels.
  • Files with members, start dates and remaining visits. See the data migration checklist.
  • A switchover date and a plan for who works in which system until then.
  • Five real cases for the demo: a sale, a freeze, a refused entry, a no-show and a partner card outside its coverage.

What this case study leaves out

There are no figures for time saved, revenue or retention, because we have no measurement with a clear period and basis to show. There are no quotes either. Vitality Gym is connected to the GymLiquid team, so this text is a vendor's description rather than an independent assessment.

To see how this might look for you, read about gym software and the packages, or request a demo with your own services and rules.

Frequently asked questions

Is this an independent assessment?

No. GymLiquid wrote this text, and Vitality Gym is connected to the platform's team. Read it as a description of a working setup, not an outside review.

How much time or money does the gym save?

We do not publish those figures, because we have no measurement with a clear period and basis to show. We will add them when we do.

Will the same devices work at my gym?

Do not assume so. The printer, terminal and turnstile described work in this configuration, but they are not a certified list. Devices are reviewed for each gym individually.
